Governance Structure
Organs of the Society

The structure below is designed for an international scientific society that supports multiple conference clusters (e.g., ICONS and ICDTDE). It balances academic leadership, operational continuity, and member representation.

G-01

General Assembly

The supreme body of the Society consisting of all members. Approves statutes, elects officers, and ratifies major decisions.

Meets: annually (typically during the winter cluster)

G-02

Executive Council

Provides strategic direction and oversight. Ensures alignment across SIGs, publications, and conference clusters.

Composition: President, VPs, Secretary, Treasurer, Members-at-large

G-03

Steering Committee (Conferences)

Coordinates the annual conference clusters, appoints conference chairs, standardizes quality, and ensures continuity across editions.

Scope: ICONS / ICDTDE clusters and member conferences

G-04

Publications Committee

Oversees Society publications (e.g., proceedings relationships) and the independent journal (IJDTDE), including editorial policy alignment and ethics.

Scope: proceedings, journal, special issues/collections

G-05

SIG Council

Coordinates SIGs, approves new SIG proposals, supports annual plans, and promotes cross-SIG collaboration.

Composition: SIG Chairs + SIG Coordinator

Ethics & Integrity Committee

Ensures compliance with research integrity, COI management, misconduct handling, and transparent procedures.

Conference leadership roles

Each conference in a cluster may appoint: General Chair(s), Program Chair(s), Publication Chair, and Session Chairs. A cluster-level Steering Committee ensures continuity and harmonized standards.

Suggested: a standardized “Conference Handbook” covering review workflow, templates, ethics, and awards.

SIG leadership roles

Each SIG is led by a Chair and Co-chair (and optional secretary). SIGs report annually to the SIG Council and coordinate activities (webinars, tracks, best practice notes).

ISDTDE operates with clear policies to protect research integrity, ensure fairness, and build trust in its conferences, awards, and publications.

Research integrity

Misconduct handling procedure for conferences and publications (allegations → review → decision).

Appeals & complaints

Transparent route for appeals (editorial or programme decisions) with documented outcomes.

Diversity & inclusion

International balance in committees and leadership; respectful conduct policy.

Data & reproducibility

Encourages data/code availability statements, repositories, and reproducible workflows.

Financial transparency

Annual financial statement (membership fees if any, sponsorships, expenditures).

Founding Setup
Suggested initial transition plan

To launch effectively, ISDTDE can start with an interim governance period (founding year) and then move to full elections.

Phase 1 — Founding year

Appoint interim officers and committee leads; finalize statutes; set membership model.

Phase 2 — Consolidation

Launch SIGs, handbook for conferences, awards process, and independent journal operations.

Phase 3 — Elections

Hold elections at the first General Assembly with verified membership and COI processes.
